# Choosing the right automation tool

*Platform Administrator Study Guide · Automation · Last updated September 26, 2026 · https://certifyforce.com/study-guide/platform-administrator/automation/choosing-the-right-automation-tool*

How to pick between lead and case assignment rules, escalation rules, auto-response rules, Flow and Einstein predictions for a routing or follow-up requirement, and what the Default Workflow User does for background automation.

- Certification: Salesforce Platform Administrator
- Exam section: Automation
- Study guide: https://certifyforce.com/study-guide/platform-administrator

**Official exam objective:**

> Given a scenario, identify the appropriate automation solution based on the capabilities of the tool (escalation rules, case assignment rules, lead assignment rules, default automation user, AI).

## What the exam expects

- Choose a case or lead assignment rule when the requirement is "set the owner (user or queue) when the record is created, based on its field values".
- Choose an escalation rule when the requirement is "do something to a case that has stayed open too long", including counting only business hours.
- Know what each rule type cannot do, so the rest of the job goes to Flow.
- Explain what happens to records that match no rule entry, and why rule entry order matters.
- Know what the Default Workflow User is for and where it is set.
- Decide when an AI feature (Einstein Case Classification, Einstein Lead Scoring) fits better than a deterministic rule.

## Key facts

| Fact | Detail | Source |
|---|---|---|
| Active rules per type | Only one lead assignment, one case assignment, and one escalation rule active at a time | [Assignment Rule Guidelines](https://help.salesforce.com/s/articleView?id=sf.customize_leadrules.htm&language=en_US&type=5), [Escalation Rules](https://help.salesforce.com/s/articleView?id=service.rules_escalation_create.htm&language=en_US&type=5) |
| Case assignment rule size | Up to 3000 entries, including 300 formula entries | [Assignment Rule Guidelines](https://help.salesforce.com/s/articleView?id=sf.customize_leadrules.htm&language=en_US&type=5) |
| Entry evaluation | In order; first matching entry wins and evaluation stops | [Assignment Rules](https://help.salesforce.com/s/articleView?id=service.creating_assignment_rules.htm&language=en_US&type=5) |
| Assignment rule assignee | A user or a queue; assigned users must be active with Read on the object | [Assignment Rules](https://help.salesforce.com/s/articleView?id=service.creating_assignment_rules.htm&language=en_US&type=5) |
| No entry matches | Default Web-to-Lead owner, the admin importing leads, or the default case owner (Support Settings) | [Assignment Rules](https://help.salesforce.com/s/articleView?id=service.creating_assignment_rules.htm&language=en_US&type=5) |
| Assignment rule email | Template goes to the new owner; no template, no email | [Assignment Rules](https://help.salesforce.com/s/articleView?id=service.creating_assignment_rules.htm&language=en_US&type=5) |
| Escalation actions per entry | Up to five, each with its own Age Over | [Escalation Rules](https://help.salesforce.com/s/articleView?id=service.rules_escalation_create.htm&language=en_US&type=5) |
| Business hours | Escalation actions only run during their associated business hours | [Escalation Rules](https://help.salesforce.com/s/articleView?id=service.rules_escalation_create.htm&language=en_US&type=5) |
| Auto-response rules | One active for leads and one for cases; first matching entry picks the template | [Auto-Response Rules](https://help.salesforce.com/s/articleView?id=service.creating_auto-response_rules.htm&language=en_US&type=5) |
| Default Workflow User | Set on Process Automation Settings; used when the triggering user is inactive | [Scheduled Paths](https://help.salesforce.com/s/articleView?language=en_US&id=platform.flow_concepts_trigger_scheduled_path.htm&type=5) |

## Check yourself

- Where does a new lead go when no entry in the active lead assignment rule matches?
- Why does moving a rule entry up or down change which queue a case lands in?
- Which three things can an escalation action do, and how many actions can one rule entry have?
- On which Setup page do you set the Default Workflow User, and when does Salesforce fall back to it?
- Why is Einstein Case Classification a poor choice when routing must be identical and auditable for every case?
